Which UK accounting software actually pays for itself — and which ones just look good on paper?

I’ve been comparing the usual suspects (Xero, QuickBooks, Sage, FreeAgent, Zoho Books, Pandle) and the differences in real-world fit, MTD readiness and total cost are bigger than most “best of” lists admit.

I’ve stayed with Xero because my accountant already knows the platform, and that saves time when dealing with reconciliations and year-end work. For me, accountant compatibility matters more than having every possible feature. MTD has also pushed me to tighten record-keeping and review my bookkeeping process more regularly, rather than waiting until deadlines approach.

I’d say accountant compatibility and workflow fit matter more than having the longest feature list. A cheaper platform that your accountant already knows can save time and avoid unnecessary process changes. With MTD approaching, I’d also prioritise software that makes compliance straightforward rather than simply choosing the cheapest option.

I think the real test is whether the software saves enough time to justify its cost. Features can look impressive on paper, but automation, ease of use, reliable reporting and integration with everyday workflows are what make accounting software genuinely pay for itself.
